Access to your venue(s) will be granted at the start of your reservation. (Early access for vendors or for decorating will not be permitted.)
Vendors (Caterers, florists, etc.) may park in the half circle in front of the building, or in the loading dock, for load/unload. After loading/unloading, all vehicles must be moved to preapproved parking locations.
Audio/visual technicians will arrive 1 hour prior to the start of the event unless a prior time has been arranged in the event agreement.
A designated contact person for the event must check-in at the Student Commons Information Center at the start of the reservation and must be present through the entirety of the reservation, not just the event time.
Only venues on the reservation may be used during the event. Late request fees may be charged for additional furniture, the relocation of furniture, or for additional venue space. (Please note, not all requests may be accommodated.)
All decorations, flowers, personal belongings, catering equipment, and excess trash (boxes, non-reusable catering supplies, etc.) must be removed by the end of the reservation time. An excessive cleaning fee may be charged in the event that these items are not removed from the venues within the reservation time. Virginia Commonwealth University is not responsible for any items left in the building, or on-site, at any time and is not required to retain any items left after the reservation time.
Personal cell phone numbers will not be available for on-site staff. Any day-of questions or concerns you may have may be addressed by contacting the Information Center on the first floor of the Student Commons, or via the white phones located throughout the building.
Users are responsible for the supervision of children at all times and any damages caused by children or guests during the reservation.
Smoking is not allowed within 50 feet of any building.
If the University has a delayed start due to inclement weather, then all Student Commons facilities will open 1 hour prior to that delayed start time. If the University is closed due to inclement weather then all Student Commons facilities will be closed.
In the event of an unforeseen building emergency or natural disaster, Virginia Commonwealth University reserves the right to close the building and cancel any events scheduled to take place. Should this occur, Event and Meeting Services will do our best to reschedule your event to an alternate date, however Virginia Commonwealth University cannot be held responsible for the reimbursement of any vendors or rentals related to your event should it be canceled.
Free off-street parking can be found on several of the surrounding streets near the Student Commons. (Please be sure to follow all posted street signs with regard to parking. Virginia Commonwealth University will not reimburse you for parking tickets or towing fees.)
Paid parking in the surrounding parking decks is also available by request. Please contact the Event and Meeting Services office for more details regarding paid parking prices and availability.
